Rental Contract Payments When you book with Snowshoe Properties Management, you have fourteen days until your rental deposit of 50% or one-half of the total rental cost is due to us. The entire cost of your rental reservation must be received 21 days prior to your arrival. If you are making a payment in advance, you may pay with a personal check, certified check or a money order. Reservations made within 21 days of arrival must be paid with a certified check or money order sent overnight delivery. Rates quoted automatically include a 3% cash discount, therefore, Visa or MasterCard payments when accepted will incur a fee of 3%. Personal checks are not accepted within 21 days of arrival. When paying by money order or check please note the following: · Please write reservation number on check or money order. · Please mark your calendar with payment schedule, as we do not send reminders. · A $25.00 handling fee will be charged for all returned checks. · Please make check or money order payable to Snowshoe Properties Management, LLC Final payment must be received within 21 days of arrival. All reservations are subject to 6% sales and use tax, 6% occupancy tax and a $40.00 administrative fee. ALL ADVANCE RENTAL PAYMENTS, BALANCES AND DAMAGE DEPOSITS ARE DEPOSITED IN SNOWSHOE PROPERTIES MANAGEMENT’S NON-INTEREST BEARING TRUST ACCOUNT AT CITIZEN’S BANK OF Cancellations and Reservations Changes These are guaranteed Reservations that you are responsible for. In the event that you must cancel your reservation, monies cannot be returned unless the property is re-rented at no loss to the owner. If the property is re-rented for the same time period and at the same rate, a refund will be due to leaseholder (minus administrative fee) within 20 days of the close of the business month of arrival. IF WE ARE UNABLE TO RE-RENT THE PROPERTY, THE FULL RENTAL AMOUNT WILL BE DUE AND PAYABLE. All cancellations and reservation changes will incur a $50.00 fee. Transferring Dates When you are faced with the possibility that your entire deposit will be forfeited, you may request a transfer in the same unit the same year. When transferring from a higher rental rate season to a lower rental rate season, you will still be charged the higher rate. When transferring from a lower rental rate season to a higher rental rate season, you will be charged the higher rental rate. All transfers may incur a $25.00 fee. Security Deposit Waiver While renting from Snowshoe Properties Management, we provide the following benefit to all our guests. The Peace of Mind Plan: The POM Plan covers theft or damage to the unit as a result of your inadvertent acts or omissions. For a full description of the plan, please refer to the Description of Coverage detailing the terms, conditions and responsibilities of the Tenant and Snowshoe Properties Management, LLC. If you do not receive a Description of Coverage upon the booking of your reservation, contact Snowshoe Properties Management, LLC for a copy. The benefit of the POM Plan does not negate your responsibilities as a Tenant. You must notify Snowshoe Properties Management of any damage or theft to the unit during your occupancy, or this plan is void and you will be held responsible for any damage to the unit. The units are carefully inspected after each rental by Snowshoe Properties Management. This Plan is provided to all of our guests as an additional service from Snowshoe Properties Management, LLC. Check-in Procedures The check-in time is 4:00 p.m. with the exception of Keys Upon arrival, you will receive two sets of keys in a check-in packet. Accommodations All of our homes are individually owned and reflect the taste and style of each owner. Every effort is made to ensure that our descriptions, rates and amenities are accurate. However, we cannot be held responsible for changes made by owners to furnishings, rates and equipment or printing errors. Our homes are well maintained and very clean, but understand that these are unique and intricate homes, which just like your own, experience a wide variety of unexpected breakdowns. Please understand that emergencies do take precedence. You can expect a courteous and professional staff to help remedy the situation; however, refunds will not be issued due to malfunctioning equipment or other guest dissatisfaction. Please keep in mind that due to the remoteness of our location and the inability to obtain replacement parts quickly; immediate servicing of malfunctioning units is not always possible. Owners and Snowshoe Properties Management, LLC have the right to enter and reasonably inspect the property during your occupancy and make repairs to its fixtures, appliances, furnishings and facilities. Reservations Family Group & Occupancy All of our vacation homes are privately owned and therefore occupancy is limited to family groups only. No one under 24 may obtain a rental agreement on a property or pick up a key for a property. If a group misrepresents themselves they will be evicted immediately without refund. The maximum number of persons allowed is designated on your rental agreement. Occupancy count does include children. Any party exceeding this number will be evicted immediately without a refund. Pets There are some units designated as pet friendly. You can find these units indicated on our web site. Pets are limited to two, medium sized, house broken dogs. All other animals are not allowed. YOU ARE EXPECTED TO “POLICE YOUR PET”, CLEAN UP AFTER IT/THEM AND REMOVE PET WASTE FROM THE HOME PRIOR TO DEPARTURE. A $250.00 PET DEPOSIT IS REQUIRED and refunded after departure, if no damage is found to the unit. Pets found in non-pet properties are forbidden and will result in immediate eviction without refund and incur a $250.00 charge to the credit card on file. Pet damages are not covered by the Peace of Mind Insurance and your credit card will be billed if there is damage to the unit in excess of the $250.00 PET DEPOSIT. Owner’s Closets Each unit has locked closet(s) or areas , which are not available to guests. Our staff checks these doors after each departure. Please respect the privacy of our homeowners while they are sharing their home with you. If any of these areas are tampered with, you will be held responsible. What Is Provided Linens are provided as a courtesy to all of our guests. This includes one towel and wash cloth per person and all bed linens, per allowed occupancy. A kitchen towel is also provided. Please make sure that all linens stay when you leave. Starter supplies of toilet paper, trash bags, bath soap and dishwashing soap/detergent are provided at no additional cost. If you should need additional supplies during your stay, you would need to supply those. All homes feature standard items that include the following: coffee maker, toaster, pots and pans, dishes, utensils and glassware. All units are equipped with a telephone that allows the caller to make local calls. A calling card may be used for long distance calls. If the telephone service is interrupted we will make every effort to correct the problem but cannot guarantee replacement or repair. Hot tubs, porch furniture, grills, air conditioning and recreational games or equipment are courtesies provided by the individual homeowner and are not guaranteed. Refunds will not be given if there is a breakdown. Winter Reservations We have a large amount of snowfall from November through March. You MUST be prepared with four-wheel drive, snow tires and in extreme weather, chains. If you have reserved a HOME you MUST have four-wheel drive and chains. Firewood/propane is provided for our winter guests. Please make sure fires are extinguished before departing, but please leave hot ashes in the fireplace. Read and carefully follow the directions for the gas fireplaces. Under NO circumstances should the logs in gas fireplaces be removed and/or rearranged. Please make sure the flue is open before using log fireplace. Unfortunately, there are circumstances that arise in which we have little or no control and there are rare occasions in which we may be unable to allow occupancy in your reserved unit. Circumstances beyond our control may include fire, eminent domain, construction, sale of property, lack of water/sewage or acts of nature. Leaseholder acknowledges that in no event shall Snowshoe Properties Management, LLC or homeowner be held liable for any consequential or secondary damages, including but not limited to expenses incurred as a result of travel costs. Leaseholder agrees to release, to indemnify and to hold harmless, the Homeowner and his Agent from and against all liability for injury to the person of the Tenant or to any member of his/her household resulting from any cause whatsoever, except personal injury caused by the neglect or intentional acts of the Owner or his Agent. No refunds will be made due to unfavorable weather or disruption of utility services (including cable and/or satellite TV). Leaseholder agrees to be responsible for any repairs due to his/her negligence. This agreement shall be binding at the time of reservation when Tenant, as a guarantee, gives Agent credit card number. Tenant acknowledges that they might not have possession of the premises until full rental amounts set forth herein have been paid. The terms and conditions as set forth above are incorporated by reference as if fully set out.
